Summary /Objective
The Project Manager Assistant (PMA) participates in the development and successful execution of consulting projects for the firm.
Working with Project Managers, the PMA participates in all phases of project management, including initiation, planning, executing, monitoring and controlling, and project closeout.
This is a developmental role that combines both business experience and acumen with a knowledge of architectural and engineering design practice.
The successful Intern is expected to develop the qualifications to become an accredited Project Management Professional and independently lead the firm’s design projects.
Essential Functions During project procurement and initiation, PMA will Assist with the evaluation of potential projects to determine feasibility, considering client expectations, costs and expected revenues, the project’s alignment to FourFront goals and areas of expertise.
Work with potential clients, project managers, studio leads, and designers to identify initial project scope, preliminary deliverables, and timelines.
Work with project manager and management to evaluate expected costs and revenues.
Work with marketing, project manager, and studio leads to complete and present proposal.
Participate in project interviews.
During planning, PMA will Assist in finalizing project scope, project design team, project phases, and project budget.
Help develop cost management plan and project metrics to track project results to plan.
Work with project managers to establish timetables, labor work hours required, responsibilities, and resources required.
Help assess project risks and risk management plan.
Assist with contracting to assure clients, firm, subcontractors, and other parties are secured and in agreement with contractual obligations.
Work with Project Manager to develop the Quality Assurance Quality Control plan for project.
Assist in preparing and conducting project kick off meetings, charrettes, and other planning activities that drive a successful project.
Throughout project execution, PMA will Assist in procuring and leveraging project resources, including financial, human resources, tools and supplies, and subcontractors.
Assist in maintaining relationships with clients, subcontractors, project team, management, and government authorities.
The PMA is key in monitoring and controlling projects.
The role includes responsibility to Collaborate with Project Manager, designers, and support staff to evaluate constructability, projected to actual profitability, and timely and accurate invoicing is completed.
Measure project performance and discuss results with Project Manager.
Assist in managing changes to ensure project remains aligned with client and company expectations.
Monitor task execution according to the plan; alert project manager where discrepancies develop.
Track project deliverables to contractual obligations.
Assist Project Manager with steps to mitigate risk.
Assist in reviewing project performance to key metrics; provide feedback to acknowledge successes and correct any problems arising before they negatively impact the project.
During the project closeout phase, PMA will Assist project manager in securing final acceptance of the work product from client Assist in financial closeout of project budget, measuring results of actual to plan.
Help team evaluate performance, identify best practices and key learnings to help increase success of future projects.
Assist team in securing project documentation, archival, and file closures.
Competencies Project management software, or ability to quickly learn technologies used in the execution of projects.
Basic understanding of budgeting, resource management, contracting, and general business management practices.
Ability to communicate effectively; proficiency in written and verbal communications.
Ability to compute and analyze numerical data, finding correlations, trends, and evaluative information.
Detail-oriented and accurate.
Ability to learn, read, and understand legal documents, governmental codes, and technical manuals.
Basic understanding of contracting and business law, such as that attained though an undergraduate business law course at a college level.
Supervisory Responsibility This position does not currently supervise subordinate staff; however, if a member of the project team, may indirectly assist in work assignments, performance evaluations, conducting employee feedback, and employee development.
Work Environment This job operates in an office/remote setting.
This role routinely uses standard office equipment such as computers, multi-line phones, multifunctional printing devices, and filing cabinets.
Physical Demands Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
This is largely a sedentary role; however, some filing is required.
This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Expected Hours of Work Standard workdays and hours of FourFront Design Inc are Monday through Thursday, 7:00 a.
m.
to 5:00 p.
m.
and Friday 8:00 a.
m.
to 12:00 p.
m.
Evening and weekend work may be required as job duties demand.
Flexibility in schedule considered if job duties are satisfactorily met.
Travel This position may include travel at less than 15% of time.
Education and Experience Bachelor's degree in business, engineering or architecture, landscape engineer, or other Project Management roles is a plus.
Five years of experience in the following areas: budgeting, consulting services, business management, client relationship development, construction or facilities management, or a combination of these to successfully perform essential job duties.
Must be willing to complete the study and testing requirements to attain the Project Management Professional (PMP) designation through the Project Management Institute; or an equivalent designation recognized in the AE industry.
A combination of experience and education to proficiently perform the essential functions of the job.
Work Authorization/Security Clearance (if applicable) Must be able to work in the United States.
