Position Purpose: This position provides clerical support for Chief Court Services Officers (CCSOs), court services officers (CSOs), and/or diversion program staff; answers and directs phone calls; greets the public and probation population; opens and maintains juvenile and adult files, both paper and computer file/record; gathers information and reports; types pre-sentence investigations and pre-hearing social history reports; attends judicial proceedings, completes paperwork and provides paperwork to juvenile and adult offenders regarding their sentence/disposition; enters real-time data into the UJS on-line information systems; provides additional office support as requested by the CCSO’s, CSO’s, or Drug Court Coordinator.
May provide caseload support for case service monitoring, diversion and minimum level probation cases.
Duties may include: typing correspondence, legal forms, pre-sentence investigations, case review sheets and quarterly review sheets; making and maintains files of probationers, detention reports, and legal forms; copying all correspondence and forms; filling out statistical forms of all juveniles and adults placed on probation and mails to SCAO; keeps existing caseload statistical forms up to date; preparing files for impending court cases; checking juvenile and adult caseload sheets for accuracy and types current lists of probationers for area law enforcement officers and school officials; performing bookkeeping duties which may include voucher processing; processing all supply orders and requisitions for the drug court program by checking vendor prices, placing orders, and typing, coding, and submitting the proper forms; encoding and monitoring drug court statistics for program evaluation; processing travel detail forms; preparing out-of-state travel authorizations and makes room and air travel arrangements; acting as office receptionist, greeting visitors, clients and answering phones; attending court hearings to enter/record proceedings on UJS information system.

Minimum Qualifications: This position requires graduation from high school or achievement of a GED certificate and one (1) year of clerical support or related experience; or an equivalent combination of related education and experience.
Post high school education including secretarial, computer, and transcription training desirable.
Successful completion of a criminal background investigation is required for employment.
Knowledge, Skills and Abilities: Knowledge of: English, grammar, and spelling; sequences such as numerical or alphabetical as they apply to sorting and filing; basics of the legal system and legal terminology; Microsoft Office products including Excel and Word; modern office procedures, office protocols, and secretarial practices and procedures; basic mathematics.
Skill In: proofreading; time management; typing, fast and accurate; telephone etiquette; customer service.
Ability to: communicate with others both orally and in writing; read and understand legal reports; organize and prioritize extensive workloads; stay calm and work under pressure; operate various office equipment; maintain confidentiality; read, understand, and implement procedures and practices.
