Please contact Kristi to schedule the testing - 307-687-4513** Purpose Statement: The job of Secretary to Elementary Principal is done for the purpose/s of providing secretarial support to school-site personnel; communicating information to staff, students, the public, and other districts; ensuring compliance with financial, legal and administrative requirements; providing information and/or direction as may be requested; and supporting assigned administrative personnel.
This job reports to Assigned Building Supervisor.
Essential Functions: • Administers approved medications and first aid to sick and/or injured children for the purpose of meeting immediate health care needs.
• Assists in and/or orients volunteers and new site personnel regarding appropriate school and district practices for the purpose of effectively assimilating new personnel into site operations.
• Compiles data from a wide variety of sources (e.
g.
payroll, attendance, supply requests, calendar entries, staff communications, student data software, etc.
) for the purpose of complying with financial, legal and/or administrative requirements.
• Coordinates a variety of programs and activities as assigned (e.
g.
substitute teachers, meetings, in-service day activities, workshops, ceremonies, dances, luncheons, field trips, supply inventory, etc.
) for the purpose of delivering services in conformance to established guidelines.
• Evaluates situations including emergency/disaster (e.
g.
involving other staff, students, parents, the public, etc.
) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
• Maintains inventory of office supplies for the purpose of ensuring items' availability.
• Performs record keeping (confidential and non-confidential) and general and program specific clerical functions (e.
g.
student and staff information, scheduling, copying, faxing, etc.
) for the purpose of supporting assigned administrator and/or maintaining accurate site information.
• Prepares written materials (e.
g.
parent and/or discipline handbooks, school profile reports, memos, letters, report cards, etc.
as assigned) for the purpose of documenting activities, providing written reference and/or conveying information.
• Processes a variety of documents and materials (e.
g.
registering and transferring students, employee and substitute time sheets, daily attendance, work orders, general ledger activities, purchase orders, etc.
as assigned) for the purpose of disseminating information to appropriate parties and/or maintaining effective and efficient district functioning.
• Receives and distributes supplies and correspondence from a variety of sources to building staff (e.
g.
purchase orders, supplies, etc.
) for the purpose of ensuring that materials received are in good condition and distributed to the correct party in a timely manner.
• Responds to inquiries from a variety of internal and external parties by phone, letter and/or in person (e.
g.
staff, parents, students, public agencies, etc.
) for the purpose of providing information, facilitating communication among parties and/or providing direction.
• Supports assigned administrative personnel for the purpose of providing assistance with administrative functions.
Other Functions • Assists other personnel, as may be required, for the purpose of ensuring an efficient and effective work environment.
• Participates in meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
Job Requirements: Minimum Qualifications SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions.
Specific skills required to satisfactorily perform the functions of the job include: administering first aid; operating standard office equipment; performing standard bookkeeping; preparing and maintaining accurate records; and using pertinent software applications.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions.
Specific knowledge required to satisfactorily perform the functions of the job includes: accounting/bookkeeping principles; business telephone etiquette; concepts of grammar and punctuation; safety practices and procedures; and age appropriate activities.
ABILITY is required to schedule a number of activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job-related equipment.
Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods.
Ability is also required to work with a significant diversity of individuals and/or groups; work with similar types of data; and utilize job-related equipment.
In working with others, independent problem solving is required to analyze issues and create action plans.
Problem solving with data may require independent interpretation; and problem solving with equipment is limited.
Specific abilities required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; setting priorities; working as part of a team; and working with frequent interruptions.
Responsibility Responsibilities include: working under limited supervision following standardized practices and/or methods; leading, guiding, and/or coordinating others; and operating within a defined budget.

Working Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity.
Generally the job requires 60% sitting, 10% walking, and 30% standing.
The job is performed under some hazardous conditions.
Experience Job related experience with increasing levels of responsibility is required.
Education High School diploma or equivalent.
